Budgeting a small project

AI can list the costs you might forget and set up a simple budget table, but the prices must come from real quotes.

Small project budgets usually go over for one reason: something was left out. A team event, a website update or a small shop renovation all have hidden costs like transport, taxes, fees or extra hours.

Ask a chatbot to list every cost category for your type of project. Use it as a checklist and cross out what does not apply.

Do not use AI prices. It does not know current local prices and may give confident numbers that are out of date. Get real quotes from suppliers and write those in.

Add a contingency line, often around 10 to 15 percent for small projects, and track actual spending against the plan as you go. AI can help you set up the spreadsheet and the formulas.

Do it now

Find your hidden costs

  1. 1. Describe a small project you are planning.
  2. 2. Run the prompt below.
  3. 3. Replace every estimate with a real quote before you share the budget.
I am planning [PROJECT] in [CITY] for about [NUMBER] people / [SIZE]. List every cost category I should budget for, grouped (people, materials, services, fees and taxes, transport, other). Flag costs people often forget. Put them in a table with columns: item, quantity, unit price, total, source of price. Leave prices blank for me to fill in from real quotes.

Hallucination
When an AI states something false with confidence, such as a made-up fact, quote or source.
Knowledge cutoff
The date after which a model learned nothing new. Unless it can search the web, it may not know recent events.
