Shift scheduling with AI
List the shifts, the people and the rules, and AI can propose a fair rota that you then check line by line.

Building a shift rota is a puzzle: who can work when, how many people each shift needs, who has asked for days off and who keeps getting the late shifts.
A chatbot can take all of that and propose a first rota as a table. Write the rules clearly: minimum staff per shift, maximum shifts per person per week, days people cannot work, and a goal of sharing weekend shifts fairly.
Chatbots make counting mistakes, especially with many people and weeks. Ask it to show totals for each person and check the table against your rules before you publish it.
Share the draft with the team and let people swap. AI gives you a starting point quickly; the team's agreement makes it work.
Do it now
Draft next week's rota
- 1. Write the shifts, staff names (or initials) and the rules.
- 2. Run the prompt below.
- 3. Check the totals per person and fix any rule the table breaks.
Make a shift rota for [WEEK] as a table (days across, shifts down). Shifts: [LIST WITH TIMES]. Staff: [INITIALS AND DAYS THEY CANNOT WORK]. Rules: at least [N] people per shift, no one works more than [N] shifts, no one works a late shift then an early shift the next day, weekend shifts shared fairly. After the table, show the total shifts per person and list any rule you could not meet.

- Reasoning model
- A model that spends extra time working through a problem internally before replying, which helps with maths, logic and planning.
- Hallucination
- When an AI states something false with confidence, such as a made-up fact, quote or source.
