Lesson 199 · 3 min
Planning project milestones
Give AI your goal, deadline and team, and ask it to work backwards into milestones you can check off.

A project feels big until you break it into milestones: points where something concrete is finished, like "supplier chosen" or "first 50 customers called". Milestones tell you early if you are falling behind.
Ask a chatbot to plan backwards from the deadline. Tell it the goal, the date, who is on the team and how much time each person has. It can propose milestones, dependencies and a rough date for each.
Its first plan is usually too optimistic. Ask it what is most likely to slip and where to add buffer time. Then check every estimate with the people who will do the work.
Put the milestones somewhere the team sees every week. Ten minutes in the weekly meeting is enough to see what is slipping.
Do it now
Work backwards from a deadline
- 1. Pick a real project with a date.
- 2. Fill in the prompt below.
- 3. Show the milestones to one teammate and adjust the dates they think are unrealistic.
Goal: [GOAL]. Deadline: [DATE]. Team: [PEOPLE AND HOURS PER WEEK]. Plan backwards from the deadline into 5 to 8 milestones. For each: what is finished, owner, target date, what it depends on. Then list the 3 milestones most likely to slip and suggest where to add buffer.

- Prompt
- The instruction or question you give an AI. Clearer prompts with context usually get much better answers.
- Chain of thought
- Asking an AI to work through a problem in steps before answering, which often makes its answers more accurate.
