Drafting a staff handbook

Collect your rules and habits as rough notes, and AI can turn them into a clear handbook that new staff can search.

Small companies often run on rules that live in the owner's head: when to arrive, how to ask for leave, who to call when the machine breaks. New staff learn them by making mistakes.

A handbook fixes that. Start by listing topics: working hours, pay days, leave, dress code, safety, tools and accounts, who to ask about what. Write rough notes under each.

AI can turn the notes into friendly, consistent sections and suggest topics you forgot. Ask it to flag anything that might conflict with labour law so you can check with HR or a lawyer.

Keep it short and update it when rules change. Put the date on it. A handbook that is two years out of date causes more confusion than none.

Do it now

Write one section

  1. 1. Pick one topic new people always ask about.
  2. 2. Write what you tell them, in rough notes.
  3. 3. Run the prompt below and give the result to your newest team member to check.
Turn my notes into one section of a staff handbook. Topic: [TOPIC]. Write in plain, friendly language for new employees, use short headings and bullet points, and end with "Who to ask". Point out anything that seems unclear, missing or that I should check against labour law.
