Lesson 194 · 2 min

Reading long emails fast

Ask AI to pull out what the sender wants from you, by when, and what you might miss, then read the original for the parts that matter.

Long email threads hide the one line that concerns you. A chatbot can read twenty replies and tell you what is being asked, who is waiting on whom and what changed along the way.

Ask a narrow question. "Summarise this" gives a bland paragraph. "What is being asked of me, by when, and is anything still disputed?" gives you something you can act on.

Treat the summary as a map. Before you reply, open the original and read the lines it pointed to. AI can miss tone, sarcasm or a quiet change in a number.

Watch what you paste. Emails often contain customer details, prices or private matters. Use the AI tool your company has approved, or remove names and numbers first.

Do it now

Triage one long thread

  1. 1. Pick a long email thread you have been avoiding.
  2. 2. Remove personal details if your workplace has not approved the tool.
  3. 3. Run the prompt below, then read the original lines it points to before replying.
Here is an email thread. Tell me: 1) What is being asked of me, if anything, and by when. 2) Decisions already made. 3) Points still in disagreement. 4) Anything easy to miss, like a changed date or number. Quote the exact line for each point.
