Lesson 264 · 3 min
Simple invoices and quotes
AI can turn a scribbled list of items and prices into a clean quote your customer can read in seconds.

A customer on Zalo asks how much for 50 boxes of mooncakes with printed sleeves. You know the prices, but typing a neat quote takes time. Give a chatbot your item list, quantities and unit prices and ask for a tidy table with the total.
Ask it to add the details customers always ask about: how long the price holds, delivery cost, deposit, and when the goods will be ready. A clear quote saves a long back and forth in chat.
Check every number yourself. Chatbots can add up wrong, especially with many lines or numbers written like 1.250.000đ. Do the total on a calculator or in a spreadsheet before you send.
A quote or a simple receipt is different from an official tax invoice. If your customer needs a VAT or electronic invoice, those follow their own rules, so ask your accountant or the tax office what applies to your business.

Add a line total for each item and a grand total. Include: price valid until [DATE], delivery [COST OR FREE], deposit [AMOUNT], ready by [DATE]. Show your working for the totals so I can check them.
